The file that lands on this page usually still opens fine — QuickBooks Online doesn't crash when a company file goes wrong, it just keeps producing numbers nobody trusts. Bank feed duplicates: how a re-link doubles a period
When a bank connection is disconnected and reconnected — a login change, a broken multi-factor sync, clicking "Add" instead of "Match" on downloaded transactions — the feed can re-import a whole window already entered. Every transaction in the overlap posts twice, doubling revenue and expenses and throwing every later reconciliation off by the same amount. Fixing it means matching each pair against the actual bank statement and deleting the reimported copy, never both.
Undeposited Funds: the holding account that should empty out
Undeposited Funds stages a payment until it's bundled into an actual deposit. A balance that keeps growing means deposits are being entered as new income instead of matched to the payments already staged there — the same money counted twice. Clearing it means matching every open item to the deposit it belongs to, often reconstructed from statements where the file alone doesn't show the match.
Opening Balance Equity: the account that should not still exist
QuickBooks Online creates this account automatically the moment a bank or card account is connected with an opening balance. It should be moved into retained earnings or owner's equity and zeroed as part of setup. A balance still sitting there years later means that step was skipped — the equity section has never been correct since the file was created.
Negative balances: what they actually reveal
Negative accounts receivable means a payment was applied to the wrong invoice, applied twice, or entered with no open invoice; negative accounts payable follows the same pattern. A negative cash balance that isn't a real overdraft usually means a transfer got coded as an expense or income instead of a transfer. Each traces to a specific transaction, not a plug entry.
