MYOB is still the file a lot of established Australian trades, retail and professional-services businesses run on, often because it was the first accounting software the business ever bought and nobody has had a reason to move since. Two products carry the MYOB name and they behave differently day to day: AccountRight, which grew out of a desktop-linked file and still carries that heritage in how its linked accounts and clearing accounts work, and MYOB Business, the newer cloud-first product with a flatter setup. Both get treated the same way here — the software choice is the client's, and the work is keeping whichever file they run clean.
The job in MYOB is less about entering transactions and more about the codes and categories attached to them. Every sale, purchase and bank line carries a GST tax code, and every pay item sits inside a payroll category that decides how it reports. Neither of those choices is visible on the surface of a transaction list — a purchase coded GST when it should have been INP looks identical to a correctly coded one until someone reconciles the tax-code summary against source documents. That invisible layer is where an MYOB file quietly goes wrong.

GST tax codes decide what lands on the BAS, not the transaction amount
MYOB's default tax codes — GST, FRE, INP, ITS, EXP, GNR, CAP, N-T — each route a transaction to a different label on the BAS, and the code is a choice made at data-entry time, not something the software infers from the amount. A purchase coded GST when the supplier actually charged no GST overstates a GST credit; a sale coded FRE when it should carry GST understates GST collected. We apply the code that fits the transaction's documented nature and flag anything ambiguous; what actually goes on the BAS is ascertained by your registered BAS or tax agent under TASA 2009 s.90-10.
Payroll categories have to match their STP Phase 2 income type, or the pay event reports wrong
Since STP Phase 2, every wage, allowance, deduction and superannuation category set up in MYOB carries a disaggregation mapping the ATO expects to see in each pay event — overtime reported as overtime, not folded into ordinary hours; an allowance reported under its own income-type code, not buried in gross pay. A category created once with the wrong mapping keeps reporting incorrectly on every pay run until someone checks it against what the ATO expects, which is why category setup gets reviewed at creation, not discovered later in a reconciliation.
Superannuation categories run off ordinary time earnings, not gross wages
MYOB's superannuation category calculates off whatever base it is configured to use, and that base is only correct if it reflects ordinary time earnings rather than gross pay once allowances, overtime and certain bonuses are sorted out of the calculation. We keep the OTE flag on each wage category set correctly and hand the resulting per-employee, per-fund data to your registered agent ahead of the quarterly super guarantee due date; the liability itself is calculated and reported by them.
The Electronic Clearing Account holds money that has not been reconciled yet
Receive Money transactions in MYOB — cash sales, EFTPOS settlements, cheques — post to the Electronic Clearing Account before they are grouped and banked through Prepare Bank Deposit, and that account is meant to clear to zero, or close to it, every cycle. A balance that sits there for months means takings were recorded but never matched to what actually hit the bank, and whatever GST was coded on those takings hasn't been confirmed against a real deposit.
