An Australian QuickBooks Online file drifts the same mechanical ways a US one does, with a layer of GST damage on top. A bank feed disconnects and reconnects after a login change, and the reimport doubles a block of transactions. Undeposited Funds swells because receipts got recorded but never matched into a deposit. Opening Balance Equity sits unresolved from the day the file was set up. All of that happens here too — but each duplicated or miscoded transaction was also carrying a GST tax code, so the damage doesn't stop at the P&L. The tax code is where an Australian file goes wrong in ways a US file doesn't. QuickBooks tags every transaction — GST on Income, GST on Expenses, GST Free, Input Taxed, BAS Excluded — and that code, not the account it's posted to, determines whether the amount flows into the GST a business reports. A duplicated transaction with a GST code doubles the reported GST, not just the revenue. GST tax codes: where the real damage hides

Every transaction carries a GST tax code — GST on Income, GST on Expenses, GST Free, Input Taxed, BAS Excluded — and that code, separate from the account, drives what flows into the GST figures the file reports. A duplicated transaction doubles whatever GST it was coded to carry. A transaction miscoded GST Free when GST genuinely applied means the file has quietly under-reported GST every recurring period. We correct the coding on the transactions; we don't ascertain or advise on what belongs on your BAS — that stays with your registered BAS agent.

Bank feed duplicates carry their GST coding with them

The same re-link mechanism that duplicates a block of transactions re-posts each duplicate with whatever GST code the original carried. Untangling it means matching each pair against the actual bank statement, removing the reimported copy, and confirming the surviving transaction's GST code is still correct — not assuming it is because the account looks fine.

Undeposited Funds and the GST timing it can distort

When Undeposited Funds isn't cleared properly, a deposit sometimes gets entered as a fresh transaction with its own GST coding instead of matched to the payment already staged, duplicating the GST on that income as well as the income itself. Clearing it means matching every open item to its real deposit.

STP figures already reported don't get re-derived from the ledger

If payroll ran through QuickBooks Online Payroll during the uncleaned period, Single Touch Payroll figures were already reported to the ATO by the registered agent handling that lodgment, independent of the ledger's state. Cleanup reconciles book wage and superannuation accounts to match what was reported — it doesn't recalculate payroll from the bank feed.

It can surface something that would. Corrections touching an already-lodged period are flagged separately for your agent rather than folded into the current period — whether it needs a revision is their call.

What is Undeposited Funds and why does it keep growing?

A holding account for payments received but not yet swept into a deposit. A growing balance usually means deposits are entered as new transactions instead of matched to the payment already sitting there.

Do you determine what belongs on our BAS?

No. We correct the transaction-level data and GST coding in the file; ascertaining or advising what goes on your BAS is reserved for your registered BAS agent under TASA 2009.

How do you decide between fixing our file and starting a new company file?

On how far the GST miscoding and duplication run, and whether the chart of accounts needs restructuring too. We set out the work either path takes; the decision is yours.

We ran payroll through QuickBooks the whole time — does cleanup change what was reported for STP?

No. STP was already reported by the registered agent handling that lodgment. Cleanup reconciles the book wage and super accounts to match what was reported, not recalculate payroll from the bank feed.

Will you delete transactions to clean up our file?

Rarely. Void and reclass tools preserve history a BAS agent might need. Deletion is used only where the software offers no other option for a confirmed duplicate.

Do we need to give you admin access to our QuickBooks Online file?

No — we work under invited-user access at the level the cleanup needs. The subscription stays under your admin control, and you can review or revoke access at any time.
